Client data at Consult&Co is spread across four independent systems: Exact for accounting, Nextens for tax, Hix and Offsoo. No single record confirmed that entries in different systems belonged to the same client. Each new client was typed in four times, with a risk of input errors and inconsistent client numbers at every step.
The work was split into two projects, kept functionally separate. A read-only data layer was built first to bring order to existing client data. The onboarding dashboard, which writes to four external administrations, followed once that foundation was reliable. Safeguards were defined before development started: a dry-run mode, a log of every attempt, separate write credentials and an explicit per-client confirmation before a client is created live.
Every night, three pipelines on Azure Function Apps collect data from Nextens, Hix and Offsoo. A fourth pipeline merges this into a linking table, matched on Chamber of Commerce number, VAT number or name. Parties with different legal forms are always treated as separate entities. Clients that cannot be matched automatically are placed on worklists for the office, and completed entries are read back into the system. The onboarding dashboard builds on this table: a new client is created once in Exact, and the resulting client number is passed on to Nextens, Hix and Offsoo. Failed steps are queued and retried later with the same client number, which prevents duplicate records.
Since 7 August 2026, new clients at Consult&Co are created in four systems from a single entry. The next morning, each new client appears fully matched in the linking table.
